How the ServiceM8, Xero and email connections work, how to set them up, and what to do when a sync misbehaves. Support is included for every customer — no ticket tiers, no upsell.
Dashboard Solutions reads from ServiceM8 and, optionally, Xero and the owner's mailbox to build your dashboards. Every connection is one-way and read-only — we never write to, change or delete anything in any of them, and we never send email. You connect one account of each: one ServiceM8 account, one Xero organisation, one mailbox (Gmail or Outlook).
Data direction: information only ever flows from ServiceM8, Xero and your mailbox into Dashboard Solutions. Connecting will not alter, create or delete any record in those platforms, and nothing is ever sent from your email account.
Email and password. No credit card, no implementation project.
You are sent to ServiceM8's own login and consent screen. Review the read-only access requested and approve it. We never see your ServiceM8 password.
Same flow via Xero's secure login. Choose the Xero organisation you want connected. You will need permission on that organisation — if you are not the subscriber, ask whoever manages your Xero to authorise it.
Same flow via Google or Microsoft. Connect the owner's mailbox and we read the last 12 months of enquiry threads as metadata only — senders, timestamps and subject lines, never message contents. One mailbox per business: Gmail or Outlook, not both.
History loads in the background — two years from ServiceM8 and your Xero invoice and report data. Dashboards populate as it lands; you do not have to wait on the screen.
Invite office users. They see the operational worklists; revenue and margin pages stay owner-only.
Both connections refresh through the day. You can also trigger a manual sync any time you want the very latest numbers.
If a sync reports an access or permission error, the authorisation usually needs renewing. Open the connection, choose Refresh, sign in again and re-run the sync.
Disconnect from inside Dashboard Solutions, or revoke us from ServiceM8 or Xero directly. Access stops immediately either way.
Check the page footnote first — each module states what it counts and over what period. Money figures follow the invoice, not the job, and overdue is measured from the invoice issue date because ServiceM8 does not expose a due date. If it still looks off, email us with the page and the number and we will trace it to the source records.
Refresh the connection and sign in again. This normally happens when access to the ServiceM8 account or the Xero organisation has been changed or revoked.
Call reporting needs the ServiceM8 phone add-on. Without it, every other module still works in full.
Check the mailbox is connected in Settings and the last sync succeeded. We only count threads with an inbound message in the last 12 months, and only the mailbox you authorised — enquiries sent to a different address will not appear. If the connection was revoked at Google or Microsoft, reconnect it and the history rebuilds.
That is usually the point — the exception list shows exactly where the two disagree. If a whole category looks wrong, it is nearly always account mapping; tell us and we will check it with you.
