Refunds & Billing Policy

1. The short version

Monthly, in advance, in Australian dollars, no lock-in. Cancel any time and you keep access until the end of the month you have paid for. We do not refund part months by default, but we do refund double charges, charges after cancellation, a trial that converted before you meant it to, and any period a fault of ours stopped you using the product. Your Australian Consumer Law rights sit above everything on this page.

2. Free trial and the launch offer

New accounts get a 14-day free trial. No card is required to start it and you are not charged automatically when it ends — if you do nothing, access to paid features simply stops. Nothing is deleted straight away, so you can come back and pick up where you left off.

Subscribe during your trial and you get 50% off your first three months. The discount applies to the first three billing periods, after which the standard rate applies; we will state the date and the amount of the first full-price charge in your confirmation email. The offer is one per business, cannot be combined with another offer, and can be varied or withdrawn for new signups at any time — never retrospectively for someone already on it.

3. How billing works

• Plans are $99/month AUD (Essentials) and $199/month AUD (Pro), with the Business Health module a further $49/month AUD. Prices exclude GST; GST is added where applicable and shown on your tax invoice.
• You are billed monthly in advance, by card, on the anniversary of the day you subscribed, and the subscription renews until you cancel.
• Card details are handled by our payment processor. We never see or store your card number.
• A tax invoice is emailed for every charge and is available in your account.
• Upgrades take effect immediately and are pro-rated for the remainder of the current period. Downgrades and module removals take effect at the start of your next period, so you keep what you have paid for.
• We may change prices with at least 30 days' notice, effective from your next billing period. If you do not want the new price, cancel before it starts.

4. Cancelling

Cancel yourself from your account settings, or email us and we will do it the same business day. There is no cancellation fee, no notice period and no phone call to sit through. Access continues to the end of the period you have already paid for, and no further charge is made. Export anything you want to keep before your access ends; after closure your synced data is deleted in line with our Privacy Policy.

5. When we refund

Email [email protected] from your account email address within 14 days of the charge. We refund in full where:

• You were charged twice for the same period, or charged the wrong amount.
• You were charged after cancelling.
• A trial converted to a paid plan before you intended and you have not materially used paid features since.
• A fault on our side prevented you using the Service for a significant part of the billing period, or we missed our availability target for reasons within our control (see the Service Level Agreement).
• A connected platform permanently removed access to data that a paid feature you bought depends on, and we cannot deliver it any other way.

We respond to refund requests within 2 business days. Approved refunds go back to the original payment method and usually appear within 5 to 10 business days depending on your bank.

6. When we generally do not refund

• Part months where you simply stopped using the product — cancel and you are not billed again.
• Months already used and invoiced, where the Service was working as described.
• Downtime or data gaps caused by ServiceM8, Xero, your own network, or a revoked integration authorisation.
• A decision you made using the reporting. The dashboard reports on your data; it does not replace accounting, tax or legal advice.

If you think your situation is unfair, write to us anyway and say why. We would rather sort it out than win an argument with a customer.

7. Failed payments

If a card payment fails we email you and retry over the following days. Access continues for a grace period of 7 days while you sort out payment. After that we may suspend access until the account is current; we do not delete your data on suspension, and reactivating restores everything.

8. Your rights under Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law — among them that they will be provided with due care and skill and be reasonably fit for the purpose we described. Nothing in this policy excludes, restricts or modifies those guarantees. If there is a major failure you are entitled to cancel and get a refund for the unused part, or to compensation for the reduction in value, regardless of the timeframes above. For a failure that is not major, we may choose to fix the problem instead. More information is at accc.gov.au.
